Minutes from Ushers’ Meeting

12/6/07

 

Meeting began promptly at 7 PM in lunchroom.

Fr Jay opened with a prayer: Gary Ott followed with the Ushers’ Prayer from the Handbook.

 

Parking for Christmas was discussed. Fr said we only need to address 4 PM Christmas day. He will not get a shuttle. Paul Chase was put in charge of organizing a committee, contacting Sherriff’s department, deciding parking route, getting volunteers, making 2 signs saying “4 PM Mass, enter at Hillview”. It was strongly suggested that all traffic be directed to the Hillview entrance where volunteers will be directing people to go behind the church then on to the east side of the church… bumper to bumper. Cones or yellow caution tape is needed to block entrance off Kinsman into the east parking lot. Otherwise, they will be pointing in the wrong direction. Emergency lanes are to be left open. Paul can contact Hank Milnark for additional help..(the movers list?). Deputy will also be needed when Mass ends. Deputies should not be asked to direct traffic, to avoid church being charged. Just need their presence and flashing lights.

 

At 4 Pm Mass, Fr jay wants the people from the basement sent upstairs for Communion. He will go to Choir loft to distribute. Ushers need to tell people to stay put. Regular ushers know this; Jack, Dennis N, Cliff, Bill, Butch, Len. It is no different than past years.

 

Fr Jay asked ushers to arrive earlier enough at all Masses every week to greet people as they arrive…at each door. Dome pointed out that this is in the handbook as SOP. Ushers need to be there, not drinking coffee in the basement or congregating at the ushers table.

 

Dome brought up that each Mass’s ushers are responsible for tidying up the pews. It is done at 9:00 and noon, but needs to be done after 10:30 and 7:30 and Saturday.

 

No one had any comments or suggestions on the handbook. Ott thanked Dome, Smith and Chase for the efforts developing the handbook.

 

John Otto asked for more song sheets for noon Mass. Fr Jay will address with Jack Tayak.

 

Fr Jay asked what the parish can do to allow the ushers to better serve the church. There were no suggestions.

 

Dome publicly acknowledged Gary Ott’s dedication as President for the past 2 years and presented him with a fruit basket from the Ushers’ Group.

 

Dome succeeds Ott as President for 2008 and 2009. Paul Chase was unopposed and was elected VP for the same years, then to succeed Dome as President in 2010 and 2011. Bob Vaughn was unopposed and was elected Secretary for 2008. Baron Miller was unopposed and was reelected as Treasurer for 2009.

 

Del Gorris suggested that the ushers group have a special fund raising effort, aside from regular dues and checking account balance, in order to buy a permanent fixture/statue/artwork/etc for the new church. Len Smith will organize this by first talking with Hank Milnark or the appropriate person on the Building Committee to see how we do it, what can be purchased for $1500 – 2,000, which is our target collection from the ushers. Ed Jackson will assist Len.

 

Ott gave Treasurer’s report: 12/06 balance was $326.28. 12/07 balance was down to $189.08.

 

It was agreed that we will give the following for Christmas: Fr Jay - $100; Fr Bednar - $75; both deacons - $50 each and Fr. Johnson- $50. All same as last year.

 

The meeting was adjourned at 8 PM. Ott passed out envelopes with the individual dues needed from each usher. Those not in attendance will get their “bills” from their Lead Usher. There should be enough collected to cover the gifts to our religious.
